I. The Case
Great Motel is a family owned motel that was founded in 1970s. It has fifteen employees.
The annual revenue in the past several years was about $2.5M.
Currently, Great Motel uses limited computer technology. The motel owner uses Microsoft
Excel for simple bookkeeping, and a 10-year old POS for day-to-day operations. The reservation
process, customer check-in/check-out and payment, housekeeping management, supplies
purchasing, payroll, and other business processes rely mainly on paper work. The business
processes in the motel owner's mind are described as follows.
Customer services:
Reservation.
Check-in and check-out services.
Special needs services
Supplies purchasing:
The motel purchases supplies through supplies vendors.
The owner needs to make the orders.
Upon the arrival of an order, the owner needs to check it and signs the receiving form.
It has its own inventory, and the owner needs to check inventory on the daily basis.
Scheduling and payroll:
The owner makes weekly scheduling for the employees.
The schedules can be adjusted on the daily basis.
Each week the owner writes a check to pay each employee's wage.
Housekeeping management:
Housekeeping (cleaning) jobs are recorded by the employees.
The details of housekeeping jobs include the responsible employees, availability of rooms
and damages/repairs.
Cash flow management:
The owner keeps journals for every money transactions.
She counts accounts receivables, account payables, and cash on hand from time to time to
manage the cash flow.
The owner is seeking a commercial software system to automate these business processes.
Also, the motel is attempting to invest in marketing to promote the motel and attract more
customers.
You are acting as an information system analyst to help the owner of Great Motel to analyze
the system and design a computerized system.
(Hint: You will learn the concepts of BPA and BPI for systems analysis and design in Chapter 3.
For this project, BPA is to automate all the business processes of Great Motel, and one of the BPI
opportunities is to add Marketing business process for Great Motel. To be creative, please feel
free to make your own assumptions and suggestions for Great Motel to improve the information
system.)
Deliverables of the Project:
I. Midterm presentation (PPT)(The part in Blue is the Group Part, and the part in Red is
the Individual Part)
(A) The As-Is system of the information system related to the business processes you are
investigating.
(A1) Context diagram - the general context of the business
(A2) Level-1 diagram - major business processes
(A3) Level-2 diagrams - detailed business processes
, Each group member presents Level-2 DFD for a process in the Level-1 DFD.
(Note: If a student chooses to work on Level-2 DFD for a BPI business process, she/he does not
need to do this (A3) task because this BPI business process does not exist in the As-Is system.)
(B) The To-Be system of the information system to improve the business processes.
(B1) Context diagram - this should have a difference from the as-is context diagram. Highlight
the differences with color.
(B2) Level-1 diagram - this should have differences from the as-is Level-1 diagram for BPA
and BPI. Highlight the differences with color.
(B3) Level-2 diagrams - detailed business processes of the newly added process.
Each group member presents Level-2 DFD for a process in the Level-1 DFD.
Each Level-2 DFD includes the business process descriptions (see examples in Appendix
C of the textbook or Chapter 4 PPT)
