PART THREE: Delivering Bad News - Please develop a message using as many of the tools as possible concerning the delivery of bad news. Make sure that the letter is clear, concise, and professional, and delivered in appropriate and visually pleasing memo style.

Please observe a maximum word count of 250 words. There is no minimum word limit as long as the letter is effective.

I am looking to see that you can effectively use the:

Indirect approach (Buffer, Reasons, Implied Refusal, Closing)

Implied Refusal

Positive Voice and provision of an alternate solution (focus on what you CAN do)

Subordinate clause (optional, if you can effectively use implied refusal without it)

Use the MEMO style format.

GENERAL FACTS OF THE CASE:

Anna He Wong in the Documents department is being besieged by requests from staff for access to Adobe Cloud from additional machines other than their primary workstation. The employer cannot honor this request because this would be costly. Furthermore, the employer is concerned about employees simply requesting an additional access key for their own personal use, though there is only anecdotal evidence of this. Ms. Wong has been advised to send a general message out to all staff and managers to try and carefully explain the situation in order to avoid more such requests.

While she needs to be firm in her refusal, she does not want to create ill will and would even like to focus more of her message on areas where she can still provide help and support to her internal clients. For example, Ms. Wong is thinking she might invite interested members of the staff to see a demonstration of the software and/or provide more formal training.

Although a respectful explanation of Why she has to turn down these requests, use your judgment about how much explanation is really enough. See if you can focus much more on the positive aspects of this message. Keep in mind also that while perhaps a few of her staff want extra licenses for home use, that perhaps the majority may actually want additional licenses to work more at home (even if there was no pandemic!)
