To eliminate these conflicts each department must communicate not only what is being promoted but what the revenue expectations are and what exactly has been promised to the client or clients. First the sales department must work with the banquet and event team to understand the capacity of not only the spaces being sold but staffing requirements so pricing can be accurately established, then review of the calendar and existing events or recuring events are already booked. Knowing how events and banquets are produced requires not only empathy training but cross training for all employee's in all departments not only so they understand the job everyone does but can fill in should the need arise. Understanding the demand put on event staff from set up to food service and clean up helps the sales team to accurately sell the staff to the client. communication through this process includes how to submit change orders to the client and staff, the time frames needed to make changes and the deliverables for these changes. With proper and daily communication any issues are immediately discussed and resolved with cooperation of each department involved. Each employee is assigned an email and how to message the staff through either a phone application or email system so response and acknowledgement are swift and efficient. Providing enough time for each person to review their messages prior to each shift and during their shifts keeps everyone on the same page no matter what level of responsibility they have.
2. Many properties have shared spaces which can serve many purposes. It is, unfortunately, a common occurrence for properties to double book these spaces. Sales can promise a meeting room to a group of business associates who are in town for a conference so they can meet to plan their business, while the catering manager can book a banquet to be held in that same room at the same time. If communication is not effective, this can happen very easily. There should be a shared calendar that all departments use, and it should be used when booking all events. As the employee goes to book the event, with the guest still on the phone, they can ensure that the room is available before guaranteeing the space to the guest. Whoever books the room on the calendar, has the room. If the other employee promised the space without checking, it's on them to call the guest back and make other arrangements. Either a different date or time, or a different space. A second example would be a staffing issue. There are times when employees where multiple hats at the property. Someone might be a dining room server as well as a front desk agent. It's important for management to communicate when they are going to require staff for their event so that when the day comes, they don't find themselves short handed. A third example might be just being aware of occupancy. Catering may not want to plan a huge banquet event on the same night that the hotel is completely booked and extremely busy. This may cause issues with parking or just chaos in the hotel. It's good for both departments to be aware what is going on with the other to avoid these types of issues. Management meetings to discuss what is upcoming and communicating potential concerns will help to eliminate problems at the property.
