PURPOSE: Do an organization chart using appropriate computer software

An organization chart is a helpful management tool in depicting the placement of the individual in the establishment and shows the limits of each person's authority and responsibility. It aids the manager in discovering confused lines of authority, duplication of functions, inefficient allocation of personnel, too large a span of control, and lack of intermediate supervisory levels. The Health Information professional, in a management role, may be required to prepare or revise existing department organization charts.

Department Staff:

• Jan Wilson is the HIM Department Director. Pete Smith (her assistant) and Mary Jones (Medical Staff Coordinator) directly report to Jan. Annette Su is the Assistant HIM Department Director who also reports to Jan.
• Margaret Sands (File Room Supervisor), Michael Larson (Coding/Abstracting Supervisor), Harry Webster (Transcription Supervisor) and Sandy Karron (Department Practice Manager) all report to Annette.
• Michael supervises five Inpatient Coder/Abstractors and two Outpatient Coder/Abstractors.
• The six in-house Medical Transcriptionists and two Telecommuting Home Transcriptionists report to Harry.
• Margaret has eight File Clerks, one Chart Assembly Clerk and one Medical Record Clerk reporting to her.
• The following people report to Sandy: two Release of Information Technicians, one Statistician/Research Analyst, two Discharge Chart Analysts, three QI/QA Reviewers, and one Receptionist.
