Company: Happy Health. Monthly meeting of Departmental Managers.

Present: Josephine (Jo) Coates (Managing Director), Departmental Managers: Malcolm Gold, Greg Nowak, Eman Almairri. Apologies: Christina Burnley. Minute secretary: Paula Johnson.

The meeting takes place on 5th April 2021 at 10-11a.m. in the boardroom.

The conversation runs as follows:

Jo: Hi, Malcolm, how are you?

Malcolm: Im good, thanks, what about you?

Jo: Fine thank you. Oh, heres Greg. Greg, how are you?

Greg: Im OK thanks. Busy at home with the new baby!

Malcolm: Hows she doing?

Greg: OK, just doesnt like sleeping!

Paula: Hi, everyone! Greg, I saw your photos, congratulations on your new addition!

Greg: Thanks!

Eman: Hi everyone! Sorry Im a bit late. Car wouldnt start.

Jo: OK, I think were all here now, so lets make a start. The meeting should take about an hour. Paula, have you received any apologies for absence?

Paula: Yes, Christina isnt able to attend today.

Jo: Thanks. So, did everyone see the agenda and the minutes from last months meeting?

All: Yes.

Jo: Do we all agree that the minutes are a true and accurate record of the meeting?

All: Yes.

Jo: OK, so on our agenda today we have the topics of finding an activity for our team building day, and how to improve staff wellbeing. Well start with finding an activity for our team building day which is coming up in May. Does anyone have any ideas what we can do?

Malcolm: I think we should have a day out somewhere.

Eman: That sounds like a good idea where should we go?

Greg: Maybe to the coast? Get some fresh air!

Jo: Which town were you thinking of? It is quite a long way to the coast from here.

Eman: Or maybe Wales. We could go walking in the mountains?

Jo: That would be nearer. What do others think?

Greg: Hmmm, Im not sure. Wouldnt be very relaxing.

Malcolm: What about if we do an activity like bowling or paintballing?

Eman: No, I dont fancy that.

Jo: OK, so maybe we should go to the coast have a nice leisurely walk on the beach and then get something to eat?

Greg: Yeah, that sounds good. What do you think Eman, Malcolm?

Eman: Yes that sounds OK.

Malcolm: Should we vote?

Jo: We can have a show of hands all those who agree with a trip to the coast, please raise your hands. OK, thats unanimous. So we need to plan. Malcolm, can you find out the costs of going by train?

Malcolm: Yes, Ill do that.

Jo: And Eman, could you check out where we might eat and what type of food they serve?

Eman: OK.

Paula: OK, so the actions are Malcolm to check out the costs of train travel and Eman to look for eating places. When do they need to complete this by?

Jo: I think by next week, we dont have lots of time and train tickets are cheaper if you can buy them in advance.

Paula: OK, thanks.

Jo: Our next point then is improving staff wellbeing at work. What kind of things do you think would help staff to feel happier and more comfortable with the workplace?

Greg: We could offer flexible working hours, or working from home.

Eman: I think that would be a great idea!

Malcolm: But will people be as productive at home? What if they dont do anything?

Jo: We can check whether tasks have been completed and make sure everyones being productive.

Malcolm: Also theres costs involved in working from home, like heating, using our own equipment and stuff.

Eman: Yes but were saving money by not travelling to work.

Greg: Yes, and we probably wouldnt be buying coffee and snacks if we work from home. It could be a choice if you want to come into the office or you need to, then you can still come.

Jo: Yes I think thats a fair point. Obviously, there are occasions when you need to be in work, but otherwise it could be your choice. Well need to find out whether the staff in our teams would support this. Can I therefore ask all the departmental managers to get the opinions of their staff?

Malcolm: We could do a short survey.

Jo: Yes, thats a point. Maybe Paula then, you could write and distribute a short survey?

Paula: Yes of course.

Jo: Give people a couple of weeks to respond, so we can have the results by our next monthly meeting.

Paula: Fine.

Jo: OK, what other things could be done to help with staff wellbeing?

Eman: What about providing a counselling service, you know, confidential, where people can talk about anything theyre struggling with?

Malcolm: Thats a great idea.

Greg: Yes, our care workers are under an awful lot of pressure and I think theyd appreciate this.

Eman: Yes, and often employees dont want to talk to their managers as they might be embarrassed.

Malcolm: True. It would give them a space to talk about their difficulties.

Jo: Yes, sounds good. We need to find out about costs. Eman, could you look into costs of providing a counselling service for our employees? Before our meeting next month?

Eman: Yes, Id be happy to do that.

Jo: Great, what about any other ideas?

Malcolm: Im thinking it would be nice to have a physical space at work where we can go if we want to be on our own and relax for half an hour or so. Not the staff room, which is really busy, but somewhere small with a nice comfortable chair for example.

Greg: So we can catch up on sleep!

Malcolm: Ha ha! As long as you dont sleep all day!

Eman: It sounds nice. We could use a room we already have maybe and just change it a bit?

Jo: Yes, we do have a couple of rooms that are not in use at the moment. So it neednt cost too much. Perhaps a couple of comfortable chairs and a lamp or something. Malcolm, could you find out what that would cost please?

Malcolm: Yes, will do. Or maybe some of our staff have furniture they dont want anymore?

Jo: Yes, of course. You could ask.

Paula: OK, so Malcolm needs to find out the costs of furniture or if we could get some from staff, is that right?

Jo: Yes, please note that down Paula. Great. I think thats enough good ideas for now. Well report back on these things at our next meeting. Right, so is there any other business?

Greg: Some of my team of carers have reported that the gloves from our supplier are not so good recently and wondered if we could change supplier?

Jo: OK. Paula, could you look into other suppliers please?

Paula: Yes.

Jo: Anything else? No? OK, so the date and time of our next meeting is 5th May at 10am in the boardroom. Weve finished a bit early, its just 10:30, so thats great. Thank you for your contributions; I am officially adjourning the meeting.
