Question: The project is finished and there were many issues during the build including: short supply of products which caused delays issues with the fit out

The project is finished and there were many issues during the build including:

  • short supply of products which caused delays
  • issues with the fit out of the property (some were established in Part B)
  • the care which was taken by the contractors completing the various jobs on the site

the build went over the scheduled timeline which resulted in the client being unimpressed - as noted on the feedback form, (even though allowances where made to renumerate them) which impacts on the reputation of Sullivon Constructions. Below I have written what the assessor is requesting and just need this to be reviewed and lessons learned to be completed. Continuous Improvement Report - Greenwich Road

As the project is Accomplished and there are several issues arises during the progress of project and due to which we are not able to meet our deadline few of the issues are highlighted below:

  1. Short supply of products which caused delays:

Changes or improvements:

To address the delays that came because of short supply of materials, it was first critical to understand the root source of the shortage so that out project managers can fix the loopholes for future shortages. Plans were laid to know how to deal with increasing demands so that the management could understand the lead time to avoid falling short on future orders. If these issues are addressed, then future projects would have a timely completion that meets the deadlines of different contracts.

  1. Issues with the fit out of the property:

Changes or improvements:

As we can see that the Door to the toilet (WC) does not have lift off hinges installed to minimize this kind of mismanagement we should regularly inspect the work so that every snag or left-over work could be finished or rectified prior to handling over. While installing any kind of door frame we should always check its plumb.

  1. The care which was taken by the contractors completing the various jobs on the site:

Changes or improvements:

Being a project engineer/Site engineer we should always assign right task to that concern team and regularly inspecting them so that they work properly without any leakage in your plan. because if we do these kinds of goof-ups we won't be able to meet project guidelines and won't give the quality product. This is surely unimpressed our client and we can lose our future upcoming project and market reputation also.

  1. The build went over the scheduled timeline which resulted in the client being unimpressed:

Changes or improvements:

I have faced these kind of issues many time at site and while facing them I myself realize that before starting any work we always make a entry and exit plan (how we are going to start and how we smoothly end the project without any mismanagement) and once doing this one should regularly update the plan so that we can work as per current situation for an instance while making a work schedule we can't predict any Misshaping like bad weather, government restrictions, strike so these will also lead to delay in project for considering them in your plan one should regularly updating our schedule as per current conditions.

Please resubmit- Unfortunately your report is not satisfactory as have not addressed all 4 issues in the scenario above in your report

You are required a report in a Word document titled Continuous Improvement Report- Greenwich Road, addressing the 4 issues outlined in the scenario above (see highlighted in the grey box labelled Scenario)

Your report requires to specifically address the changes or improvements you think would alleviate "each" of the 4 issues outlined in the scenario or minimise them in future projects, including changes to communicating expectation to staff.

In your report you are required to write up each issue as a separate title & address under each of the headings the changes or improvements you think would alleviate that specific issue or minimise the issue in future projects, including changes to communicating expectation to staff.

Reports are written to provide the reader with as much information as possible so that they can make informed decisions or ascertain if the writer has considered appropriate changes & improvements.

With respect to the Lessons Learnt, this part of the report reviews the entire project as a whole. In this case the 4 issues that arose all have common lessons learnt. In a lessons learnt review, you never provide the lessons learnt under the issue, because during a project there are many issues that arise where the lesson learned is usually a common theme. A common process for lessons learned is that a Project Manager (PM) will outline the process they are going to follow to identify the Lessons Learned throughout the project life cycle. Lessons Learned will be documented by the PM based on using a separate "Lessons Learnt Form" for each lesson. This will enable each lesson to be filed separately in relevant categories which will enable quick and precise access to the lessons for future reference/analysis A set time is to be set at the completion of the project by the PM for a Lesson Learnt meeting, where the Project Manager conducts a Lessons Learnt session involving as many as possible and practical of the project team & stakeholders involved with the project. The PM will ensure that the Team considers both 'good' and 'not so good' lessons and they review all aspects of the project.

With respects to Quality Management Plans, a comprehensive project review will look for lessons using the following eight (8) key investigative questions:

1. Based on actual project results, does it appear that this project was a "good idea"? 2. What can be learned from how the project was defined? 3. What can be learned from how the project was planned? 4. What can be learned from how the project was governed? 5. What can be learned from how the project was executed? 6. What can be learned from how the project was monitored and controlled? 7. What lessons can be learned from how the project team performed? 8. How will these lessons be used in the future (to keep doing what went right or to fix what went wrong?).

Please review these questions & in your report provide answers to these questions for the lessons learned based on the review of 4 project issues.

Consider the overall project lessons learned responses you would provide to the questions above with consideration of the 4 issues outlined.

The Lessons Learnt should be written at the end of the report.
