My current firm does not lease equipment we buy all of our equipment outright. But, my previous company leased out all the printers and copiers rather than buying them. I worked in information technology at the time and I actually asked why we leased our printers and copy machines and my boss listed a few reasons. There are three great reasons why leasing is appropriate: avoiding obsolescence, low upfront costs, and no hassle (Furlong, 2019). The smaller non-profit that I worked for leased their printers because it was important for them to have top notch equipment since they have to generate hospital contracts and facilitate life-saving paperwork for organ transplants. The low upfront costs also made it easier since it helps preserve credit (Furlong, 2019).
Many small businesses have limited access to credit and want to avoid using it whenever possible (Furlong, 2019). The lower upfront costs, allows the smaller (200 employee) nonprofit to stay afloat and allows the organization access to credit via SUV and van purchases rather than leasing (Furlong, 2019). Only three people run the information technology department of this smaller nonprofit, so they enjoy the abilities to not have to maintenance and manage their printers and copiers- they can just call someone and have them come and service them for a low, set price (Furlong, 2019). In the long-term, it could become more expensive but then the firm would have to hire more IT staff with proper printer and copier knowledge to maintenance them so it is just easier to rent these devices. The contract that they firm gets locked into is usually for a shorter-term and it allows them time to decide if they want to renew or decline (Furlong, 2019). If they were to purchase the equipment, it would be a very hefty upfront cost but the product they would be buying wouldn't be guaranteed by someone from the "inside" and they would just have to trust a salesperson for this purchase. Also, they would have to pay for all the replacement costs and maintenance costs associated with owning the printers and copiers.
