1. For each element that you place in your stand-up area and on the board, describe why you have created it.
There are many ways to place the board horizontally or vertically. Status elements should include the following items:
• Title, board owner, date of last revision.
• Some type of symbol to reflect overall health of the project. You should be able to determine the overall health status of the project within a few seconds of looking at the board. There should be a legend on the board to explain this status or stoplight type of status.
• Some type of overall project summary information about the project will help the general viewer understand the scope of the project.
• Schedule: posting a complete Microsoft (MS) project schedule is one way but can be too overwhelming. Either post a rolling-wave portion of such a schedule or create a simple visual timeline showing, for example, key deliverables, key tasks, and key milestones. A detailed schedule should be made available to the IPT but through electronic form.
• Risk Register: same idea. Some risk registers are extensive. Try posting only the high-risk items or show the top-10 or top-five risks (and status) for the program.
• Action Items: these could be done weekly, but items not completed at the end of the week would be rolled over into the next week. Tracking action items as a team is critical to show that work is getting done, risks are being closures, and pop-up issues are addressed using real-time problem resolution techniques.
• Attendance can be tracked if the team is not as disciplined as it should be.
• Other Information: having a portion of the board reserved for this can be used to share information to the team that is important for all to see and to understand.
• Management Directed Elements: these might include schedule performance index (SPI), cost performance index (CPI), a list of contractor deliverable line items, contract deliverables against a payment milestone schedule, key suppliers list, etc.
