Scenario:

You are the vice-president of a small company called VolleyTall, which manufactures beach volleyballs and other beach volleyball accessories. On Aug 5th VolleyTall will be closed so employees can participate in a community beach clean-up organized by the charity, Plastic Oceans Canada. The event seeks to raise awareness of oceanic environmental issues and to raise funds for the charity.

The event is a day long event. Since employees are being paid, they are expected to treat it as a work day and attendance is required. Families of employees are also invited and encouraged to attend and volunteer. The president of the company will be sending out additional information in memo form closer to the date, but this email is being sent as a heads-up to ensure employees mark the date on their calendars and let their families know.

One of the reasons you are sending this "heads-up" before the president sends his company memo is because you just found out your marketing department is trying to arrange a client-appreciation day for August 5th and while you support that event, you want to ensure the date can be changed before it is too late. You also want to ensure that other employees booking vacation time or organizing any other company events keep Aug 5th open for the charity event. Your company is just small enough that you want all employees to attend.

Keep in mind when sending the email that it is being sent to the whole company, including the president, and not just the marketing department.

Format your message in email form with a header, subject line, salutation, etc. See Chapter 6 for examples of effective emails.
