PROJECT PLAN INSTRUCTIONS

This assignment is designed to assess your groups ability to effectively plan all aspects of a major project from the Business Case through the planning and costing stages, as well as stakeholder and risk management. The planning process will take place across 7 weeks of this semester culminating in a final submission of a complete project plan and project presentation.

You will work in groups of 3-4 students to complete this project. Groups will be chosen on your own, and there are no provisions for working alone.

All students must have a group selected by the beginning of week two.

BACKGROUND

The project centers around the planning of a one-day welcoming event for new incoming international students, joining the International Business Management program in January 2022.

The college is expecting around 80 students and is willing to finance the One-day welcoming event. The maximum funding available is $5,000 CAD. The college is willing to appoint you as the project team to PLAN the event and provide a complete plan of this event (project plan, the list of required documents is provided below).

The event should be held in early January 2024 in the Cambrian College student center and also include a bus tour to show Sudbury to the newcomers.

The suggested activities are the following (feel free to use your imagination and creativity):

  • Welcoming speech/meeting professors/ college tour.
  • Bus tour (2 buses) to visit the various places in Sudbury with the optional visit of Science North or Dynamic Earth (each team decides the details and duration of the trip).
  • Evening party (its up to you to decide the activities and foods for the evening party).

Each group will have to develop a business case and justify the choice of one of the options. Once the business case is presented at the Client meeting for approval by the Client (your professor), the work can begin on the project.

PROJECT BREAKDOWN

The project is broken down into four gradable components:

  1. Client meeting [10%] September 19-20, meeting time will be booked through the Teams file

The aim of the meeting is to present your business case, do the cost-benefit analysis of viable options, and recommend potential decisions.

The recommendation should describe the proposed investment and Cost-Benefit Analysis.

The costs may include considerations such as financial expenditures, the amount of time required, possible risks, and the potential for reduced quality.

The benefits may include the potential of increased sales, market share, and brand recognition and the reduction of errors and ongoing costs. Each option should be clearly identified and listed separately.

PROJECT DETAILS

Planning all the details of a project can be a daunting task but it is critical to the success of the endeavor. In the creation of your project documents you will be required to provide the following for grading:

  • Cost Estimates

  • Detailed Event Day Itinerary
  • Appendix: Other Documents: any other documents created for your project [ie. Permission slips, approvals, promotional flyers, surveys, tickets, etc]

Templates will be provided for many of the aforementioned documents and you will use MS Project software to complete the rest as discussed in class.

You are expected to do research and provide real numbers and data with regards to your estimates.Consider this a real project that will be implemented based on the accuracy of the information you provide.

PRESENTATION DETAILS

  • A formal presentation of your project based upon the final project report (above)
    • All group members must speak and participate during the presentation
    • Content (covers key topics of the project report)
    • Organization (parts of the presentation fit together well)
    • Delivery (voice is understandable and audible, eye contact)
    • Adaptation (visual aids and interest created by presenters)
    • Language (limited technical jargon, professional)
    • Length of the presentation should be a minimum of 20 minutes but not over 30 minutes
    • Be able to answer questions at the end of the presentation

IMPORTANT INFORMATION FOR SUBMISSION

Careful attention to use of language, professional writing, proper spelling and grammar is critical. Spelling, grammar, and sentence structure errors will be assessed at a loss of 2% per unique error up to a maximum of 20%.

Late submissions will not be accepted.
