Earlier this year, my department launched an AI scheduling tool to help schedule interviews. The tool was intended to streamline process and decrease the amount of time our team spent manually scheduling interviews. During testing, we found that some of the functionalities of the tool were not going as planned. The scheduling tool reviewed panel calendars over a twoweek period and identified open slots between the panel and candidate for the interview to take place. After launching, we realized the AI tool was unable to schedule interviews because panel calendars were busy or blocked over the week period. We ran into the problem several times and found it was difficult to utilize the AI tool without stopping and asking managers to free up their calendars.
We learned that although we tested the process several times with different scenarios, we never tested with hiring managers or considered how busy their calendars were. To mitigate the situation, we distributed a communication to all managers informing them of the AI Tool and the week scheduling requirement. Additionally, before scheduling interviews, our team reaches out directly to the hiring team and requests them to update their calendars accordingly.
Organizations that succeed after process failures allow for their employees to make errors and to learn from those errors. Organizations should be committed to continuous improvement and should empower their employees to own processes and grow from every situation.
