SCENARIO: You are working as a co-op student at the Region of Waterloo International Airport. The Human Resources Manager for the Region of Waterloo International Airport, Zainab Karman, has called and left you a voice mail to get your help writing an email to his staff.

Because of the development of a new variant of the COVID virus, the Manager wants to communicate the new procedures to the staff. The voice mail contains the information that needs to be in the email. The email you are writing should be from the Manager of the Human Resources Department and to All Staff.

VOICE MAIL TRANSCRIPT:

Hi, it's Zainab Karman, the Manager of the Human Resources Department for the Region of Waterloo International Airport. I need an email to be sent to all staff to let them know about the procedures for coming into the offices. We need to make sure everyone is following these procedures. I was given your name as a co-op student who could help me out. I am hoping you can write an email for me that I can send out to all employees. You know, because of the new variant of COVID, theres a new policy that all employees must take a Rapid Antigen Test every day before coming into work at the airport. I want to make sure that everyone understands and follows the procedures so that we dont get a breakout here. So I am going to tell you were employees can pick up the test kits. But even though there are instructions in the packages I am afraid that employees might not read those instructions. There is a swab that employees need to insert into their nose to take the test. Its important that employees tilt their head back so the swab is level not facing up. They need to go in at least 2.5 centimetres or about an inch and turn the swab against the inside of their nose about 5 to 10 times so that they get a good sample. But before all that, they need to make sure the area where they are taking the test in is clean. They should not be eating or drinking, smoking or vaping or anything like that because it might contaminate the sample. Also, they need to set-up the testing area before inserting the swap. There is a test tube that needs to be placed in an upright position and the vial of testing liquid that needs to be opened and poured into the test tube so that they can put the swab into it after they have swabbed the inside of their nose. Also, they need to get the testing strip ready for the swab. Thats what the package contains, a swab, a test tube, a test-tube nozzle cap, a vial of testing liquid and a testing strip. There is also one set of instructions in the kit. There are five testing packages in each kit, so employees are allowed to pick up one kit a week. They dont have to worry about getting the testing kits because they are available at the security office 7 days a week, from 7 a.m. to 11 p.m. They need to wash their hands with soap and water for at least 20 seconds and blow their nose before they start the test. The vial of testing liquid needs to be shaken to stir its contents before pouring it into the test tube. Employees need to insert the swab into both nostrils. After taking the swab out of their nose, employees need to submerge the swab tip into the testing liquid in the test tube and gently swirl the tip around at least 10 to 15 times to mix it with the solution in the test tube. Then they need to break off the swab handle and leave the swab tip in the test tube so that they can place the test-tube nozzle cap on the top of the test tube. Then they turn the test-tube upside down above the testing strip so that 7 to 10 drops go into the Test Sample Indent area on the testing strip. After that, they need to wait 15 minutes for the results. There is a Results Window with a C label and a T label. If the Results Window has a line beside the C label, the test is negative. If there are lines at both the C label and T label, the test is positive. They may have COVID. They will need to make an appointment to get a laboratory test to confirm the results. If they test positive, they must notify the Human Resources Office of the result and email the results of the laboratory test each week to hr@rwia.com until the test is negative. The Human Resources Office will arrange to deliver a Rapid Antigen Test kit to their residence each week until they test negative. They should not come back into work until they test negative. If the Results Window has no lines or only a line at the T label, then the result is not valid and they need to do the test over again. That's all I can think of right now. I think that's good.
