You are working as a co-op student at the Region of Waterloo International Airport. The Marketing and Communications Supervisor of the Region of Waterloo International Airport has called and left you a voice mail to get your help writing an email to the tenants of the airport.
Every year the Region of Waterloo International Airport sponsors an Aviation Fun Day. This is a very popular event that has displays and games, but it was cancelled last year because of COVID. The Marketing and Communications Supervisor is hoping to hold the event again this year and needs to get the booth orders from tenants who are interested in participating. The email should be from the Marketing and Communications Supervisor and to All Tenants.
The following is the transcript of the voice mail the Marketing and Communications Supervisor has left you regarding the details to include in the email. VOICE MAIL TRANSCRIPT:
Hi, Its Shelly Marquez. I am the Marketing and Communications Supervisor for the Region of Waterloo International Airport. I need an email to be sent to the tenants to let them know that we are thinking of the holding our Aviation Fun Day in the second weekend in August. It was cancelled last year because of COVID. The tenants include The Canadian Owners and Pilots Association Flight 26; Flite Line Services; Great Lakes Helicopter; Royal Canadian Air Cadet Youth Development Centre; Waterloo Warbirds; and the Waterloo Wellington Flight Centre. As part of the Aviation Fun Day, we need to get our order in for the booths to lock them down for the event. There are 3 sizes available. The first size is the Linear Booth, which are 3 metres by 3 metres in length. The Linear Booth has a few restrictions because displays cannot exceed a 2.5-metre height on the back of the booth and no hanging signs are allowed. The cheapest are the TableTop Booths, which are 2.5-metre tables with single and multi-panel graphic displays that have custom-printed stretch fabric on frames. An Island Booth is the most expensive because of the fact that it is exposed to an aisle on all four sides and is a sizable 6-metres x 6-metres in size. The island booths typically have the least amount of restrictions. Typical island height maximum is 5-metres and most hanging displays are allowed. This is the most popular booth for obvious reasons but can be the most costly as well. The orders need to be place by June 30 so I want to make sure I have all the information for the order in advance so lets back it up to the week before and make the deadline for the order to be, lets see, I have my calendar here. That would make the deadline Friday, June 25, that should give us enough time to put the order together. I am working with a company called Canada Trade Show Supplies. They can guarantee delivery if we order by June 30. They can just send me an email with their order and let me know how they would like to make payment. Oh, yeah, some of them might think they want to try to find a better deal, but because we want a consistent look and feel for the day, all tenants must order through us if they want to have a booth from the 3 types we are able to order. They need to provide a $100 deposit with their order, which will only be refundable if, for some reason or other, we go into lockdown again or if there is another surge in COVID cases and the event is cancelled. Im hoping thats not the case, but I think people are anxious to do something and I think it would be good if we could have this event again. Its good promotion. Last time we had the event so many people came, families and everything. Besides, I have been getting pressure from the board of directors to try to get some focus back on the airport and the services offered through the airport. Im just going to grab the catalogue here from Canada Trade Show Supplies to look up the prices. The cheapest one, the TableTop booths will $450 for the weekend. Thats not too bad. The Island Booth Exhibit is a lot more, but it is a great display. It is $1,000 for the weekend, but that includes set-up. It seems the company will set it up for you and then tear it down as well. I bet that some of these tenants are going to have questions about the booth, like colour and options, etc. The rep from Canada Trade left me a card. His name is Rashid Latif, and he is the Regional Rep for our area. His number is 519-883-2101. If any of the tenants have questions about these 3 booths we might as well give them Rashids number. But if they have any questions about the event itself, they should contact me Rashid wont have those details. Now lets see. The 3rd booth, the Linear booth is $750 for the weekend, so it is right in the middle. Its a nice-looking booth. Actually theyre all nice booths, it just depends on what the tenants want to display and how much space they need. If you could write up an email for me to send out to the tenants, that would be great! I am hoping I can just copy, paste and send.
