SECTION A : BUSINESS LETTER

Using the following information, write formal business letter. Please type your answer in the space provided.

You are the General Manager of AIR Sdn. Bhd., which is located at No. 11, Jalan Puteri 7/7, Bandar Puteri, 47100, Puchong Selangor Darul Ehsan. You have received a letter from Ms. Sofia Tan, requesting a refund for a water purifier she purchased on 1 August 2021.

According to Ms. Tan, the water purifier was in good working condition for the first three months. But after that, she experienced a problem with the water purifier as the water had a bitter taste and foul odour. She had made an initial complaint on this issue, and a service personnel had changed the water purifier filter.

According to your company's policy, no refund is provided on any product that is returned. Replacement of a faulty unit is allowed within the first three months, and it comes with a limited warranty which covers replacements of defective parts within one year from the purchase date. In Ms. Tan's case, it has been three months since she bought the water purifier, so she cannot receive a refund and a new replacement unit.

Write a formal letter to Ms. Tan at B-3-8, Mont Kiara Palma, Jalan Kiara, Bukit Kiara, 50480 Kuala Lumpur, Wilayah Persekutuan Kuala Lumpur, informing her about your company's policy and offer to provide a temporary water purifier replacement unit until her unit is fixed. Make sure to tell Ms. Tan that the 1-year limited warranty of the product only covers defective parts that are replaced and does not include labour charges. In addition, if the product is faulty due to misuse by the customer, she will have to pay for the repairs.
