Operations

With the consulting firm overseeing maintenance and support it lessens the burden of the PTI to keep the system up to date and functioning without hiring on a whole IT staff. With a centralized reporting system, it would enhance their current system to streamline services and responses. And with the client base being mostly younger adults it broadens the specs of what would be suitable for this company as most clients 20-40 years of age have a decent understanding of technology and how to troubleshoot basic issues. With an integrated security system, the company may be able to save a bit on their insurance fees and other related expenses, increasing the amount of funds to service other areas of the business. With an integrated back end with similar front end user interfaces, it would lessen the burden of training as associates would progress up the chain and receive promotions as the overall system does not differ from each other. With this system being implemented across the board and retrofitting other facilities PTI would be able to have members use their gyms when they travel as their membership travels with them. This system can also support the need for an online presence as they can locally host their webpage or host it on a cloud-based platform later down the road to help inform the public about services offered and get the word out about classes for all levels of athletic ability and fitness, showing they have something for everyone.

Technical

On the technical side of the operations, all operating systems and applications will be the same across all locations upon retrofitting the other locations. Each employee will be given in-depth instruction and training on the functions and proper use of the system. This will allow employees to learn the system and its functions thoroughly allowing the employees to troubleshoot if it is within their capabilities/responsibility. As the system/applications are updated and changed, employees will take a refresher course should it be necessary. Automated gym equipment such as treadmills, stair masters, bikes etc., could utilize Near Field Communication (NFC) devices for customers to automatically upload their session to a secured server or it could be done via manual entry at kiosks throughout the gym or an app for mobile devices.

Legal

With the system using an external payment system, such as Apple Pay, PayPal, or others, the burden of security would be lessened as these systems are responsible for their own security and encryption. This lessens the risk of breaches through our system and thus reduces the likelihood of being sued. With basic client information being stored in our database such as emails, names, and phone numbers, we would still need to have a decently sophisticated security suite to ensure customer satisfaction and trust. We also need to account for any medical information that clients may disclose to us so we can better tailor services to them. This needs to adhere to HIPAA laws but can be done with a sophisticated security suite. or the safety and security of all parties a security suite would be implemented throughout the facility to ensure the comfort and security of all patrons and staff. Should the need arise due to an incident at the facility, a security suite may also be beneficial to local law enforcement.

Economics

This system could propel PTI to the forefront of the fitness industry by slightly leveling the playing field with competitors such as Planet Fitness and Gold's Gym. The consulting firm will handle the new system's training to ensure proper documentation for common issues and a quick fix should an issue arise. This will also relieve PTI of the burden of training only a few people rather than the entire staff. This is included in the initial budget for support roles. This would also ensure a smoother transition when our support role ends should PTI not choose to renew the contract for support. This system does not need to be state-of-the-art technology-wise. Using basic manual input software on a mobile platform with account-based access would be more than sufficient. It would also allow PTIs trainers access to see how their clients are progressing and tailor certain things to their needs as no two people are the same.

Schedule

With our deadline being the 2022-23 Holiday season, we have ample time to implement and test our system to ensure proper functionality and limit incidents. With marketing pushing to keep memberships up after the holiday resolutions we need to be prepared for a heavy toll on the system as it will be implemented during a peak season and the uncertainty of when it will die down. This contract will cover the design, implementation, and maintenance of the system for 18 months to ensure a smooth transition allowing ample time for PTI to hire, train and migrate all services to PTIs control. Should PTI choose to renew said contract, they must notify Patterson and Wilder within 60 days (2024 Jan 1) of the expiration of this contract (2024 March 1) or pay a penalty of $250 per day after January 1st, 2024. Creating a transition date ensures that PTI decides sooner rather than later whether they want to establish their own IT department to manage the system we implement or whether we will continue our management of the system.

Conclusion:

In conclusion the overall impact of this system is incredibly positive. It would enable centralized control of all systems through the general manager and up to the district manager and so on. This will allow a streamlined process to order goods, manage personnel, manage memberships, and the sale of goods. Having this feed into a centralized database with slightly different functionalities for different departments it streamlines training, development, and overall facility efficiency. With access points offering Wi-Fi to clientele, it could enable a more friendly environment so they may listen to music, stream shows/movies while on certain machines such as a treadmill or bike and allows a more seamless use of app integration for tracking workouts should this be the path chosen. This system is very doable and is an innovative idea for this new supercenter to help create a standard for all facilities, current and future.
